Terms of Service

These Terms of Service (“Terms”) govern your use of FrontDesk AI (the “Service”). By creating an account or using the Service, you agree to these Terms. If you do not agree, please do not use the Service.
What the Service is
FrontDesk AI is an AI receptionist for small service businesses. It answers customer questions, captures leads, and books appointments over web chat, using a knowledge base that you configure. Phone and SMS channels are rolling out and are offered on the Pro plan.
Your account
You must be at least 18 years old and able to enter into a contract to use the Service. You are responsible for the accuracy of the information you provide, for keeping your login credentials secure, and for all activity that happens under your account. Tell us promptly if you believe your account has been compromised.
Subscriptions and billing
Paid plans are billed in advance on a recurring basis - monthly, or annually if you choose annual billing - and renew automatically until you cancel. Payment is taken when you subscribe. All prices are exclusive of VAT and other applicable taxes, which are calculated at checkout based on your billing location and added to the amount charged.
New customer offer
Customers subscribing to a monthly plan for the first time receive their second billing month free. Your first month is charged at the plan price, a 100% discount is applied automatically to your second month, and billing returns to the plan price from the third month onward. The offer applies once per account, to monthly plans only, and is applied automatically - no code is required. Annual plans are already discounted and are not eligible.
Cancellation
You can cancel anytime from your billing settings. Cancellation stops future renewals; it does not refund the current billing period except as described below.
Refunds
We offer a 14-day money-back guarantee: if the Service is not right for you, contact us within 14 days of your first payment and we will refund it in full. If your first month is refunded, the new customer offer ends with it and any unused free month is forfeited.
Conversations and plan limits
A conversation is one complete back-and-forth session with a single customer — no matter how many messages are exchanged inside it. Whether a customer asks one quick question or works through booking an appointment step by step, that all counts as a single conversation. If the same customer comes back a day later with a new question, that starts a fresh conversation.
Each plan includes a monthly conversation allowance:
- Starter — up to 200 conversations per month.
- Growth — up to 1,000 conversations per month.
- Pro — unlimited conversations.
If you approach your plan limit, we'll let you know before anything changes so you can upgrade if you need more.
Acceptable use
You agree not to use the Service to:
- break the law or infringe anyone's rights;
- send spam, or upload malicious, deceptive, or unlawful content;
- attempt to disrupt, reverse-engineer, or gain unauthorized access to the Service;
- use the Service to handle content or situations it is not designed for (see AI limitations below).
Your responsibilities as the business using the Service
The Service acts as a receptionist for your business, on your instructions. Because you control how it is configured and who it talks to, you agree that:
- you will not configure the assistant to claim or imply that it is a human, and you will not remove, hide, or contradict the notice that customers are talking to an AI;
- you have a lawful basis, and where required the consent, to collect your customers' personal data and to have it recorded, transcribed, and processed by an AI on your behalf;
- you are responsible for complying with the laws that apply to phone calls and text messages in the places where you and your customers are — including, in the United States, the Telephone Consumer Protection Act (TCPA), state call-recording consent laws (including two-party consent states), and do-not-call rules — and for obtaining any consent required before the Service calls, texts, or records anyone;
- you will provide your own customers with a privacy notice covering how their data is handled when they interact with your business through the Service.
Indemnity
You agree to indemnify and hold harmless FrontDesk AI from and against any claims, losses, damages, and reasonable costs (including reasonable legal fees) that arise from your breach of these Terms, the content of your knowledge base, how you configure the assistant, or your failure to obtain a required consent or to give a required notice — except to the extent the claim is caused by our own breach of these Terms or our negligence.
Important: AI limitations
FrontDesk AI is powered by artificial intelligence. Like all AI, it can be wrong, incomplete, or misunderstand a question. Its responses are generated automatically and are not a substitute for professional advice.
You and your customers must never rely on the AI for medical, legal, or financial advice, or in an emergency. The AI cannot handle emergencies and should never be treated as an emergency or crisis service. Anyone facing an emergency should contact the appropriate emergency services or a qualified professional directly.
Dental, medical and other healthcare businesses: the Service must not be used for clinical triage, diagnosis, or handling medical emergencies. It is a reception and scheduling assistant only. If you operate in a medical or dental setting, you are responsible for configuring an appropriate escalation path so that urgent or emergency calls are directed to a human and to emergency services without delay. You are responsible for how the AI is configured and for the information in your knowledge base.
Your data and ownership
The customer data and the lead, appointment and knowledge base records generated through your account belong to your business. We process them on your behalf to provide the Service. You can export your data, and you can request deletion at any time — see our Privacy Policy for how we store, retain, and delete data. Our handling of that data as your processor is governed by our Data Processing Agreement, which forms part of these Terms.
Service availability
We work hard to keep the Service running reliably, but at these subscription tiers we do not offer a guaranteed uptime or service-level agreement. The Service is provided on an “as is” and “as available” basis, and may occasionally be unavailable for maintenance or reasons outside our control.
Limitation of liability
To the fullest extent permitted by law, FrontDesk AI will not be liable for any indirect, incidental, or consequential damages, or for lost profits, revenue, or business, arising from your use of (or inability to use) the Service, including any reliance on AI-generated responses. Our total liability for any claim relating to the Service is limited to the amount you paid us in the 12 months before the claim arose. Nothing in these Terms excludes liability that cannot be excluded under applicable law.
Termination
You may stop using the Service and cancel your subscription at any time. We may suspend or terminate your access if you breach these Terms or use the Service in a way that risks harm to others or to the Service. On termination, your data is handled as described in our Privacy Policy.
Governing law
These Terms are governed by the laws of the Republic of Bulgaria, and any disputes will be subject to the jurisdiction of the competent courts of Bulgaria, without prejudice to any mandatory consumer protection rights you may have in your country of residence.
Changes to these Terms
We may update these Terms from time to time. When we make material changes, we will update the “Last updated” date above and notify you by email or through the Service before the changes take effect. Continuing to use the Service after changes take effect means you accept the updated Terms.
